The Lettings Process

The letting process starts from your initial enquiry. We are on hand to help make your letting experience easy and stress free.

When registering your interest, please provide any specific requirements, this will help us establish what you are looking for and quickly allocate your suitable property.

To save you valuable time, our lettings department will aim to speak to you over the phone to gather basic information and assess if the property you enquire about is indeed the best fit for you.

Viewings of the Property

We will schedule a viewing of your desired property where one of our office representatives will show you around the property. The viewing will be confirmed by e-mail or text message, providing you with the full property address, date and time of the appointment, name and contact of the office representative.

Reserving your property (Holding Deposit)

A holding deposit is a sum of money paid to a landlord or letting agent to reserve a rental property before the signing of a tenancy agreement.

The value of the holding deposit will equate to 1 weeks rent or less.

Until such time that a holding deposit is received the property will remain available on the market and may be reserved by another applicant. Swift action is highly recommended to secure the property you want.

Referencing will only commence once a holding deposit is received.

Referencing and Tenancy Application Form

To proceed with referencing, each adult is to fill in the Tenancy Application Form and return it to our office within 24 hours from the payment of holding deposit.

Supporting documents will be required along with your application form, a list of which appears here

  • Passport
  • Last 3 Months Bank statements (showing income)
  • Last 3 months Payslips
  • Utility bill dated within the last 3 months
  • Landlord reference
  • Work reference
  • Residence permit (overseas applicants only)
  • Immigration status documents

These documents must be provided together with the application form.

Signing up the tenancy

Upon successful completion of the referencing process we will be in touch to arrange a date and time to sign up your tenancy agreement.

The tenancy will be drafted and emailed to you to be signed electronically.

All relevant documents will be emailed to you in advance along with a breakdown of funds required prior to signing up the contract. These will usually include:

  • 1 month rent in advance
  • Deposit equivalent to 5 weeks rent
  • The holding deposit amount will be deducted at this stage (if consent has been provided)

Handover of keys and completion of paperwork can be carried out at the property or alternatively in our offices.

You will also be provided with a Check in Form which details meter readings, location of the meters, smoke alarms and numbers of keys provided to you at the start of the tenancy.

The following documents will be provided to you prior to the start of your tenancy:

  • EPC
  • Gas Safety Certificate (If applicable)
  • NIC – Electrical certificate (If applicable)
  • How to Rent Guide

Inventory

An inventory will be carried at the property prior to you moving in, we ask that you check it carefully, sign and return to our office within 7 days of receipt.

Deposit

Your deposit will be protected with Deposit Protection insured scheme. The certificate number together with other relevant documents will be sent to you within 30 days from the start of tenancy.
